Opening a US legal entity is a big step for any pharmaceutical company. On the SAP side, it means accurate financial reporting from the first month, reliable inventory visibility across your own and third-party warehouses, and controlled procurement, all without breaking the global data standards the rest of the group depends on.
We recently delivered exactly this for a pharmaceutical company: a rollout of SAP S/4HANA 2022 Private Cloud for its new US entity, completed in six months. Here is what that kind of program involves.
1. Fit into the global template
A new entity should not become a special case. We extended the existing SAP architecture while keeping master data and financial structures consistent with the rest of the group, configuring FI, CO, SD and MM for US operations.
2. Get Gross-to-Net right from day one
In the US market, the gap between gross sales and net revenue is shaped by chargebacks, rebates, accruals and administrative fees. If these are tracked in spreadsheets, finance cannot fully trust the net revenue number. We implemented tailored GTN reporting so the team could see each revenue deduction and what drives it.
3. Migrate financial history carefully
Legacy data had to be validated, historical records mapped and trial balances reconciled across distributed ledgers before balances were loaded into the S/4HANA Universal Journal. This work is unglamorous, but it is what lets finance close the first month with confidence.
4. Connect the 3PL partners properly
Much of the physical stock sits with third-party logistics providers. Secure EDI and API interfaces now handle goods receipts, inventory movements and stock reconciliation, with exception-based notifications when something does not match, so the team works on problems instead of checking everything.
5. Control shelf life and expiry
For pharmaceuticals, expired stock is both a cost and a compliance risk. We configured batch management and shelf-life expiration date (SLED) checks, with workflows for near-expiry stock and material destruction.
6. Automate the routine
Several recurring tasks were automated: cash application matching for wholesaler and distributor remittances against open receivables, SAP Concur expense postings, recurring ABAP background jobs and monthly inventory period-end activities.
The outcome
- On-time delivery: the rollout was completed within six months
- Unified data: financial and operational processing in one SAP environment, for consistent reporting
- Clear GTN visibility: detailed reporting on revenue deductions and net revenue drivers
- Stronger inventory control: batch and shelf-life monitoring with structured handling of expired stock
- Fewer manual tasks: automated cash application and recurring jobs
- Better integration monitoring: alerts for 3PL interface issues and inventory discrepancies
